Add the Archive Steps to your Offboarding Workflow

This article guides you through adding the Archive and Archive Vault steps to your offboarding workflows in CloudM Automate. This ensures user data is automatically secured before the account is deleted or suspended.


Prerequisites

You must have successfully set up and configured your Archive Storage Bucket. The Archive step will remain greyed out in the workflow menu until this is complete.


Licensing

CloudM Archive is licensed at tier pricing but requires an additional licence per archived user, purchased on top of the tier subscription. This applies because archived users remain managed through CloudM Automate even after leaving the organisation. The licence is consumed for as long as the archived data remains in your GCS bucket.

How to add Archive steps to a Workflow

The following instructions apply to both Archive and Archive Vault steps. See the notes below for step-specific differences.

  1. Use our Offboarding Workflow Configuration to get started.
  2. Select Add step.
  3. The step will now appear in your workflow list, with the following options:
    • Configure via the drop-down arrow - explained below.
    • Add a step delay.
    • Drag and drop the step to change the order of execution.
    • Delete step.
  4. Click Save to confirm your changes.

Once the step(s) are added to your workflow, find the step and click the drop-down arrow on the right-hand side to edit it.

Complete and Offboard

Once you have configured the Archive step(s), click Save. You can now offboard users to trigger the Archive step(s).
