What is Drive Management?

Requires the Essential tier or above.

Drive Management gives administrators a single place in Automate to see and manage the shared drives across their domain, browse the files inside them, view an individual user's My Drive, and review what has been happening in Google Drive. You do this without leaving Automate or signing in as the user.

What you can do

  • See every shared drive in your domain, including risk data such as external members, public link sharing and drives with no manager.
  • Act on shared drives: change settings, add members, move a drive between organisational units, rename it or delete it.
  • Browse the folders and files inside a shared drive.
  • View a user's My Drive and act on their files.
  • Search a timeline of what has happened in Google Drive: who did what, to which file, and when.
  • Apply a change across many shared drives at once, using bulk actions or Bulk Query.

What you can do depends on your tier. Drive Management is only available to administrators.

Opening Drive Management

Drive Management is a group in the left side menu. It contains Shared Drives and Activity History. To reach a user's My Drive, go to Directory > Users and open the user's record.

Before you start

Drive Management needs a domain-wide delegation service account from your own Google Cloud project, and shared drive sync switched on. Until the first sync completes, the Shared Drives list is empty or incomplete.
