How to Migrate Google Group Emails (Using Google Vault)

This article explains the process for migrating email content from a Google Group where a direct migration using the API is not possible. It outlines an alternative method using Google Vault to export the data into an .mbox file, which can then be migrated using CloudM Migrate Self-Hosted.


The Challenge with Google Groups Migration

Q: Why can't I migrate Google Group emails directly?

A: Google's API does not provide a native way to export email from Google Groups. This is a current limitation of the platform, not a limitation of the CloudM Migrate software.


The Solution: Using Google Vault

Q: Is there an alternative method to migrate email from Google Groups?

A: Yes, if your Google Workspace instance has Google Vault enabled and is configured to retain Google Group messages, you can use it as an alternative.

Google Vault allows you to export emails from a Google Group directly to an .mbox file. Once you have the .mbox file, you can then use CloudM Migrate to import that file into a supported destination entity, such as a user mailbox or a shared mailbox.


Prerequisites

For this migration method to work, the following must be in place.

Google Vault Requirements
  • Google Group Conversation History: The "Conversation history" setting for the Google Group must have been turned on at the time the messages were created. This setting is not retroactive; enabling it will only save new messages from that point forward. If this setting was off, past messages will not have been retained and cannot be accessed by Google Vault.
  • Retention Policy: A Google Vault retention policy for Google Groups must be in place and actively retaining the messages for the specified group(s). For more information, refer to Google's documentation on Retain Groups messages with Vault.
CloudM Migrate Requirements
  • CloudM Migrate Self-Hosted: This migration method requires the CloudM Migrate Self-Hosted application.
  • Appropriate Licensing: You must have a license for "Mail Archive" as a source platform to your desired destination platform.
  • Source Connection Setup: You need to configure a file-based source connection. For detailed instructions, refer to the Mail Archive Source Connection Setup article.
  • Network Drives: If your .mbox files are stored on a network drive, you must configure mapped network drives on the migration VMs for CloudM Migrate to access them. See the article on Configuring Mapped Network Drives.

Step-by-Step Migration Process

  1. Export the Email from Google Vault: Use Google Vault to search for and export the email content from the desired Google Group. The output will be an .mbox file. For detailed steps on how to do this, refer to Google's official documentation on Exporting data from Vault.
  2. Prepare the MBOX File: Ensure the .mbox file is accessible for the CloudM Migrate tool, either on a local drive or a correctly mapped network drive.
  3. Migrate the MBOX File:
    • In CloudM Migrate, set up a migration from Mail Archive as the source.
    • Add the .mbox file you exported from Google Vault to the Items to migrate list:
      • Export Item Type: User.
      • Import Item Type: Choose a supported entity from the drop-down (user or group).
      • Export Name: Source group primary email address.
      • Import Name: Destination entity primary email address.
      • Documents Path: The path to the MBOX folder on your migration VM.
    • Date Range: As this is a migration from a static .mbox file, it is recommended to migrate all data to ensure no information is lost. Therefore, we advise leaving the date range filter unchanged, unless you have a specific requirement to filter content.
    • Run the migration.
