There are five ways to trigger an offboarding workflow in CloudM Automate, giving you flexibility over how and when users are offboarded from your domain.
1. Manual offboarding
Initiate the offboarding process for an individual user directly within CloudM Automate.
- Navigate to Directory > Users and select the user you want to offboard.
- Select More actions and choose Offboard user from the dropdown.
2. Scheduled offboarding by end date
Schedule a future offboarding for a user — useful for contractors or employees with a fixed end date.
- Navigate to Directory > Users and select the user.
- Select More actions and choose Set end date & time.
- Set the date and time. The offboarding workflow will trigger automatically at the specified time.
Timing
The user may be offboarded up to ±1 hour from the selected time. For more details refer to the Users > Actions article.
3. Automated offboarding on account suspension
Automatically trigger an offboarding workflow when a user's account is suspended in Google Workspace.
To enable this, navigate to the Workflows settings for the relevant OU and enable Automatically offboard suspended accounts.
You can also enable the optional setting Do not offboard accounts suspended by Google. This prevents the offboarding workflow from being triggered when Google automatically suspends an account due to suspicious activity, avoiding accidental offboarding of users who are temporarily flagged.
4. Automated offboarding on OU move
Automatically trigger an offboarding workflow when a user is moved into a specific Organisational Unit.
To enable this, navigate to the Workflows settings for the relevant OU and enable Automatically trigger offboarding when a user is moved to this OU.
5. Bulk offboarding via CSV
Offboard multiple users simultaneously using a CSV import.
- Use the Export feature to generate a CSV of your users.
- In the CSV, set the Operation column to
REMOVEfor each user you want to offboard. - Use the Import feature to process the file and trigger offboarding for the selected users.
