The user account for both the delegator and the delegate must be active AND must not require a change of password when the user signs in next. An error will be returned if this prerequisite cannot be met.
Delegation needs to be enabled by the Google Workspace admin before you can do this via CloudM Automate. Please see Google Workspace's instructions for more info, and bear in mind that it can take up to two hours in some cases for this to propagate.
Within CloudM Automate, you can perform a delegation of both Mail and Calendar
Delegation allows you to delegate access to a user to view, create, edit and delete items on behalf of another user. CloudM Automate allows you to perform this in the following ways:
- As part of an Offboarding policy process. See Offboarding Policy and Process (Google Workspace) or Offboarding Policy and Process (Microsoft 365)
- Using Actions on the User's profile page.
- Select Directory > Users.
- Find the User in the list (by either scrolling down the list, sorted alphabetically, or by searching for the User).
- Click on the User to reveal the User's profile page (displayed as an informational panel that slides in from the right hand side of the screen)
- Select Actions
- Select Delegate Access to delegate email or Delegate Calendar to delegate calendar.
- Using the Search bar to delegate access for multiple:
- In the Search bar, enter your search criteria and select Search.
- On the Results page, click on all the users that you want to delegate access for. Enabled users will be highlighted in orange.
- Select Actions
- Select Delegate Access to delegate email or Delegate Calendar to delegate calendar.
Delegate Access
Selecting Delegate Access will allow you to delegate mailbox access for the user in one of two ways:
- Incoming - Give other users access to the email of the user(s) you are editing.
- Outgoing - Give the user(s) that you are editing access to another user's or users' email
Simply add the required users and click Apply.
Delegate Calendar
Selecting Delegate Calendar will allow you to delegate access to calendars for the user in one of two ways:

Incoming - Give other users access to the calendar of the user(s) you are editing.
- You can set the level of access to: Free / Busy Reader, Reader, Writer or Owner.

Outgoing - Give the user(s) that you are editing access to another user's calendar.
- You need to select the level of access and then a user. At this point, you can select the specific calendar you want the user to have access on.
Select Apply.
Listing the accounts that a user has been delegated access to
Unfortunately, we are unable to show a list of accounts that a user has been delegated access to.
The Google API only allows us to list the delegates for an account - they do not give us a way to list accounts that you have been delegated access to.
