Searching in CloudM Automate

The search bar at the top of every screen in CloudM Automate allows you to search across users, groups, Smart Teams, and Organisational Units. You can action users directly from search results — select one or more users from the results and use the Actions menu to perform bulk actions.

Available actions vary by tier. Customers on the Email Signatures tier have limited actions available. See what's included in your tier →

Creating groups from search results

When creating a Group or Smart Team from a search, all results returned are included — not just selected items. Use the Actions menu to select Create Group or Create Smart Team.

Search syntax

Add your search term between the brackets for each field. For example: department:(MARKETING)

Combining search terms

Use AND, OR, and NOT to combine multiple search criteria. For example:

name:(John) AND job_title:(Sales)

This returns all users named John with "Sales" in their job title — including partial matches such as "Sales Director". There is no limit to the number of search terms and keywords you can combine.

Searching predefined extra information fields

To search for predefined extra information fields, use the following syntax:

Search type Syntax
Key only custom_key:"enter key name"
Value only custom_value:"enter value"
Key and value custom_key_value:"key = value"

Examples

  • custom_key:"User_ID" — returns all user profiles that contain a field called User_ID, regardless of the value.
  • custom_key_value:"User_ID = 123456" — returns the specific user with a User_ID of 123456.

Vault Legal Holds

Search for googleVaultHold in the search bar to return all users currently on Legal Hold in Google Vault. You can then create a Smart Team from these results to apply specific workflows to them.

Sync Vault data first

Use Request Vault Synchronisation in Settings > Domain Settings before running this search to ensure the results reflect the latest information from Google Vault.

Advanced search

Select the dropdown icon at the end of the search bar to open the Advanced Search builder and construct your criteria using form fields rather than syntax.

General

The default view when opening Advanced Search. Fields available:

  • Type — specify the type of item to search for. Additional fields are displayed depending on the type selected.
  • Name — search by name or partial name.
  • Extra Information Keys — search by custom field name.
  • Extra Information Values — search by custom field value.

Selecting Profile from the Type dropdown displays fields specifically for searching users.
