Archive Status

The Archive Status section provides a comprehensive log of all data moving into CloudM Archive. This screen allows you to track the progress of active jobs, verify item counts, and investigate any items that failed to archive.

Accessing Archive Status

  1. Sign in to CloudM Automate with an account that has Archive permissions.
  2. Navigate to Archive in the main menu.
  3. Select Archive Status.

Understanding the Dashboard

At the top of the screen, a high-level overview dashboard provides a snapshot of your system's archiving activity:

  • In Progress: The number of archive jobs currently running.
  • Completed (30 Days): Jobs finished successfully in the last month.
  • Completed (Total): The total number of jobs finished since inception.
  • Export Button: The ability to export filtered data to a CSV file via email or a Google sheet in the users drive.

Archive Status Columns

Below the overview is a table listing all archive processes, ordered from newest to oldest.

  • User: The source user account from which data was archived.
  • Archive Date: The timestamp when the archiving process began.
  • Storage Bucket: The storage bucket to which the user's data has been archived.
  • Data Type: The category of data included (e.g., Mail, Drive, Chat).
  • Count: The total number of individual items processed.
  • Status: The current state of the job:
    • Running
    • Completed
    • Failed
    • Purging / Purged / Purge Failed (Indicates if the source data was deleted from the live environment after archiving).

Viewing Errors and Retrying

If you need more detail on a specific job, click on the relevant row in the table to open the Information Panel.

  • Item Breakdown: See exact counts for files versus folders.
  • Error Handling:
    • If a process shows a Failed or partial status, a View Errors button will appear.
    • Clicking this will list the specific items that caused the error.
    • You can use the Retry button within this panel to re-attempt the archive process specifically for the failed items.

Filtering Results

To locate specific jobs quickly, you can filter the list by:

  • User (search for a specific user's email or name).
  • Status (e.g., show only "Failed" jobs).
  • Storage bucket.

Exporting Data

By selecting the export button you are able to use the filtering options to export the data into either a CSV file attached to an email, or a google sheet which will be saved to the users drive. This is currently limited to 10,000 entries.
