This document provides a detailed overview of the synchronization schedules for various data types between CloudM and Google Workspace. Understanding these processes ensures that your domain information, user profiles, groups, and email signatures remain consistent and up-to-date.
1. Domain Synchronization
What it does: The Domain Sync (or Global Sync) ensures that CloudM and your Google Workspace domain have the most current information by synchronizing a wide range of data between the two platforms.

Automatic: CloudM performs a Domain Sync automatically every 48 hours.

Manual: You can trigger a manual sync at any time by navigating to Settings > Domain Settings and clicking Synchronize Now under the Domain Actions section.
2. Profile Fields Synchronization
What it does: This process ensures that any changes to user attributes (e.g., job title, phone number) are instantly reflected across both platforms.
Important Note: The CloudManager schema is created and managed automatically by CloudM. Do not make direct changes to this schema in the Google Admin console, as this can lead to sync issues or be overwritten by CloudM. It is best practice to manage these fields exclusively within the CloudM platform.

CloudM to Google Workspace: Changes made in CloudM are synced to Google Workspace instantly.

Google Workspace to CloudM: Changes in Google Workspace sync to CloudM within minutes. This is managed by the Automatic Google Profile Sync feature, which relies on Google Directory API Push Notifications and is enabled by default.
What are Google Directory API Push Notifications? Think of it like a live text message system for your domain data. Instead of CloudM constantly checking (or "polling") Google Workspace for changes, Google Workspace instantly sends a "push notification" to CloudM whenever a user's profile is updated. This method is far more efficient, ensuring that changes from Google are reflected in CloudM almost immediately without wasting resources on unnecessary checks.#

3. Smart Teams Synchronization
What it does: This sync ensures that changes in group memberships are automatically updated.
Frequency:

Automatic: Smart Teams are synchronized every 25 hours.
4. Email Signatures Synchronization
What it does: This process keeps user signatures in Gmail up-to-date with the latest versions configured in CloudM.
Frequency:

Automatic: CloudM syncs email signatures to Gmail within minutes of a change.

Manual: You can also manually trigger a sync for a specific Organizational Unit or Smart Team. To do this, select the desired OU or team, then use the Actions menu to choose Sync Email Signatures.
