Profile Mandatory Fields

Profile Mandatory Fields allow you to enforce data collection by requiring users to complete specific fields before they can access the platform or at their next login. This ensures that your directory remains populated with essential information without requiring manual intervention from administrators.

Note: Access to the CloudM platform will be restricted until the user has completed all mandatory fields assigned to their Organizational Unit or Smart Team. This ensures data integrity is captured at the very start of the user's journey.


Why use Mandatory Fields?

The biggest advantage of enforcing mandatory data is streamlined onboarding. You can create a new user account and assign them to an OU or Smart Team immediately; the user then takes responsibility for filling in their own personal details (like recovery phone numbers or bios) during their first login.


Configuring Mandatory Fields

Like all profile settings, mandatory field requirements follow the CloudM precedence hierarchy. You can access these settings via two primary routes:

Option A: Via the Profile Fields Screen

  1. Navigate to Directory > Profile Fields.
  2. Select your target Organizational Unit or Smart Team from the left-hand menu.
  3. Select the Profile Mandatory Fields tab.
  4. Check the boxes next to the fields you wish to make mandatory.
  5. Click Save at the top right to apply your changes.

Option B: Via the OU or Smart Team Profile

  1. Navigate to Directory > Org Units (or Smart Teams).
  2. Select the specific OU or Team to open the profile panel.
  3. Select Actions > Configure.
  4. Select the Profile Mandatory Fields tab.
  5. Mark the checkboxes for the required fields and click Save.

You can enforce requirements for standard Google fields and custom CloudM attributes, including:

  • Password Recovery
  • Email Addresses
  • Office Addresses
  • Telephone Numbers
  • Job Title
  • Department
  • Company
  • Web Links
  • Date of Birth
  • Custom Tags
