Migrating Microsoft Shared Mailboxes

This guide provides essential considerations and steps for successfully migrating Microsoft Shared Mailboxes using CloudM Migrate.


Understanding Shared Mailbox Migration

Shared Mailboxes are not automatically discovered by CloudM Migrate. You must manually add them to the migration list to ensure they are included in your project.

Manual Addition Guidelines

To add a Shared Mailbox, use the Items to migrate section and follow these settings:

  • Export Type: User

  • Export Name: The primary email address of the source Shared Mailbox.

  • Import Type: Can be either User or Group, depending on your chosen destination. 

  • Import Name: The primary email address of the destination entity.

  • Given Name / Item Name & Family Name / Item Description: These fields are required only if you are using CloudM Migrate to create the destination entity.


Supported Migration Scenarios

CloudM Migrate supports migrating Microsoft Shared Mailboxes to three different destination types, with varying levels of feature support.

1. To a Microsoft Shared Mailbox

This is migrated as a User to User migration.

  • Permissions: Delegate permissions from the source Shared Mailbox are fully supported and will be migrated to the destination Shared Mailbox.

  • Folders/Categories: Source folders and categories are migrated as-is.

2. To a Google Workspace User

Important Note: Unlike a Microsoft Shared Mailbox, a Google Workspace user account is a licensed entity and will incur a cost.

  • Permissions: Delegate permissions from the source Shared Mailbox are migrated to the destination Google Workspace user account.

  • Folders/Categories: Source folders and categories are converted and migrated to Gmail labels.

3. To a Google Group

Important Note: Similar to a Microsoft Shared Mailbox, a Google Group is a free, unlicensed entity.

  • Permissions: CloudM Migrate does not support the migration of source mailbox delegate permissions to Google Group members.

  • Folders/Categories: CloudM Migrate does not support the migration of source mailbox folders or categories to Google Group labels.
