v2.4.0 Release Notes (25th January 2023)
Enhancements | Description | Platform | Links to article(s) in Knowledge Base |
Delete email signature templates with the library |
You can delete any email signature template that is not assigned. This allows you to keep your library of templates organized and relevant. It also allows you to craft test templates without the need to keep them. |
Both | Email Signatures |
Offboarding Step - Preemptively Suspend User |
This step will allow you to suspend the user at the start of the offboarding process, preventing them from logging in and accessing any services from the account. This step is ideal for workflows that include custom delays between steps. | Both
Offboarding Step - Remove Email Forwarding Settings |
Remove the Email Forwarding settings configured for the user. Emails sent to the email address will no longer be forwarded.
|
Both | Offboarding Policy and Process for Google Workspace |
Offboarding Step - Use Google Data Transfer Api on Transfer Ownership of Documents step |
Use the Google Data Transfer API to transfer the ownership of the documents instead of the existing CloudM method. Please note that the Google Data Transfer API will not grant the same level of error logging or statistic reporting fidelity as the CloudM method.
|
||
Offboarding Step - Transfer Looker (Google Data) Studio |
This step will transfer the ownership of Looker Studio (previously known as Google Data Studio) data to a specified user.

v2.3.0 Release Notes (9th November 2022)
Enhancements | Description | Platform | Links to article(s) in Knowledge Base |
Google Dynamic Groups |
CloudM Manage allows you to create, update and delete Google Dynamic Groups in the user interface, and also syncs to any Google Dynamic Group created in Google Workspace, placing it within the Google Dynamic Groups table. Google Dynamic Groups are only available to Google Workspace Enterprise Standard, Enterprise Plus, Enterprise for Education, and Cloud Identity premium accounts. You can create up to 100 Google Dynamic Groups per domain, by default.
|
|
|
Manage the ability to restore archived data for specific OUs |
Previously, any user that had the ability to restore archived data could do so on a "Global" scale. This means that they had access to the data of any user that was archived to storage, including potentially sensitive information (salary discussions, financial, legal and budgetary information etc) A new permission will limit the data that an admin can view and restore to the data of users that belonged to a specified OU (or a child OU under it) when they were offboarded to storage.
|
||
Auto-retry of failed steps |
CloudM Manage will now automatically retry a failed offboarding step up to 5 times, where appropriate. For some failures e.g. if the user has no license assigned, it doesn't make sense to retry, as it can only be solved with manual intervention first. The software also provides more control over retrying individual steps which fail.
|
Google and Microsoft | |
Improved logic for skipping unnecessary steps in the Offboarding Workflow |
Where CloudM Manage knows a step will always fail (e.g. Migration of Email if the user only has a Google Cloud Identity SKU account), the step will be automatically skipped. This means that the workflow can continue without failing on a step that is does not need to. |
Google and Microsoft |
N/A |
Full error export for the Transfer Ownership of Documents step |
CloudM Manage will now display all errors that occur as part of the Transfer Ownership of Documents step instead of just the most recent error. You can also export the list of errors to a CSV or Google Sheet so that you can troubleshoot each issue easier. |
Google and Microsoft |
Improvements:
- You can Enable / Disable the truncation of labels (as part of the Migrate Emails step) if the label is too long.
- When enabled, the Disallow Label Truncation setting will fail the step if a label is too long. When disabled, the step will not fail but will use the label of the closest parent instead.
- The Disable 2FA step will now also turn off 2FA in Google for the user, using the Directory API.
Bug Fixes:
- Fixed an issue where a Group Sync from Active Directory on-prem sets a case-sensitive email address. This led to issues when attempting to add the group as a member to another group as it could not be found.
v2.2.1 Release Notes (7th September 2022)
Enhancements | Description | Platform | Links to article(s) in Knowledge Base |
Email Signatures for domain aliases |
You can now specify if you want a different email signature to be displayed when the user uses a domain alias address to send their email. This means that you can quickly and easily ensure that users can represent the different brands, branches or groups within your organisation automatically. Domain alias signatures cannot be scheduled. |
Default Email Signatures for Domain Aliases
Group your email signature templates using tags |
You can now add custom tags to your email signature templates so that you can group them together, and so that you can quickly and easily find them. For example, you can give all of the templates that represent a specific brand or department a bespoke tag. |
Google and Microsoft | |
Offboarding improvements |
We have improved how our offboarding steps work to make the process even smoother. We have also added links to each step that will provide you with additional support for some of the common issues that you may run into. |
Google and Microsoft |
Google Offboarding Steps - Troubleshooting
|
Group sync functionality for Active Directory On-Prem connector |
Our On-Prem connector can now sync changes for Groups with Active Directory On-Prem. - The "Exclude internal" and "Exclude replies" are now ONLY available on the OU (root) level and not Smart Team level. These are global and will override all signatures.
- An automatic sync will check and update transport rules every 24 hours with any changes made during that period. The sync will occur 24 hours after the last automatic or manual sync.
v2.2 Release Notes - Google (6th June 2022)
Enhancements | Description | Platform | Links to article(s) in Knowledge Base |
Email Signatures upgraded to a Module |
Until now, Email Signatures has been an embedded part of the CloudM Manage solution. We have promoted it to a Module in it's own right, similar to our CloudM Archive module, and the Signature icon can be found in the Main Navigation Column. This will allow us to focus on creating a better Email Signature Management solution for you, and give you the choice to include (or exclude) Email Signatures from your CloudM experience. Please note that Email Signature Management still needs the other key features of CloudM Manage (now known as our CloudM Automate module) in order to work. |
Google (Microsoft to follow)
Create a library of Email Signatures and apply them to Organizational Units and / or Smart Teams |
Previously, you had to create email signatures for every OU or Smart Team (or use the inheritance feature to apply the same signature as a parent OU). This could often lead to additional manual steps and, occasionally, inconsistencies and errors. Now, you can create a library of email signatures and apply them to all relevant OUs or Smart Teams. Updating the signature in the library will automatically update the signature on all assigned OUs and Smart Teams.
|
Google (Microsoft to follow)
Scheduling an Email Signature |
One of the most exciting additions to Email Signature Management is the ability to schedule an email to be displayed over a specific time period. You can now schedule an email to show for all user's within a specific OU or Smart Team to coincide with a campaign, event or even webinar. Once the scheduled time passes, the email signature will return to the default signature for the Team, or start the next scheduled signature.

Google (Microsoft to follow) | Email Signatures |

- Corrected issue where the “Transfer Calendar” step in the offboarding workflow stalled due to the profile being suspended or invalid.
- Corrected issue where saving a predefined field without a name value could cause the inability to save an offboarding policy.
- Corrected issue where the “AddressMeAs” email signature variable was being incorrectly displayed if Gender set to Female.
- Corrected issue where canceling the creation of a Smart Team would leave the screen blank. It will now default to the Smart Team / Groups list on cancellation

- Corrected issue where names were not updating on External Contacts
- Corrected issue where mandatory profile fields were not being enforced in profile creation.
