Scheduling a Signature for an OU or Smart Team

You can schedule multiple signatures to replace the default signature at different times of the year for a specific time period or campaign. For example, you might want to display a bespoke signature for employees attending an exhibition or conference, promote your latest product release, webinar or campaign, or simply display seasonal signatures to celebrate Christmas or Ramadan.

Where secondary domains are present, you can only schedule signatures for the primary domain.

Signatures scheduled for the same OU or Smart Team cannot have overlapping dates. Please note that all dates on the calendar relate to GMT.

To schedule a signature:

  1. Navigate to Signatures > Email Signature Management.
  2. Find and select the required OU or Smart Team from the lists.
  3. If assigning to an OU: decide whether to enable Inherit signature from [parent] to use the same signature as the parent OU, or disable the option to select a specific signature. Enable Automatically sync signatures to allow the changes you make to be synced to users, or disable to save any changes as a draft without applying them.
  4. If assigning to a Smart Team: make sure the Enabled option is on. Enable Automatically sync signatures to allow the changes you make to be synced to users, or disable to save any changes as a draft without applying them.
  5. Under the Scheduled tab, you will see a list of the signatures already scheduled for the OU or Smart Team, displayed in chronological order.
    • Each scheduled signature will show the selected signature, Scheduled date, and Delete, Preview, and Edit options.
  6. Select +Add Signature.
  7. Browse the list of your available Email Signatures (or use the Search field to filter the list) and select the signature you want to assign.
    • Use the Tags drop-down menu to quickly search for all signatures with a specific tag.
  8. Click in the Select a Date field and use the calendar to select the start and end date for the signature.
  9. Select +Add.
    • If the dates contradict another scheduled signature, you will see an error message.
  10. The signature will now appear in the list of scheduled signatures, positioned in the chronological order it will be displayed.

    • Preview: View the selected signature for any specified user.
    • Delete: Remove this scheduled signature from the OU or Smart Team. This does not delete the signature from your library.
  11. Select Save Changes to confirm.
