To give a user within CloudM Automate the ability to see the Signatures section, and create, edit, assign and delete email signatures, you will need to create or update a role with the correct permissions, then assign it to the user.
Step 1: Create or select a role
- Navigate to Settings > Roles.
- Select an existing role, or click Create a new role.
- If creating a new role:
- Provide a Role name.
- Set the Scope. For full access to the Signatures feature as described in this article, choose Global, since this is required for the permissions in Step 2. Otherwise, choose the scope that matches how you want to delegate access:
- Global: access to the entire domain.
- Specific OU: access to a single OU only.
- OU and Child-OUs: access to an OU and all its sub-units.
- Parent OU: access to the parent of a specific unit.
- Own Profile: access only to their own data.
- Choose Role template: Signature Manager.
Step 2: Confirm the role's permissions
The Signature Manager template automatically includes the core Signatures permissions below. Check the role's permissions list and manually add any User Management permissions that are missing:
- Signatures
- Manage Email Signatures
- View and Edit Email Signatures Library
- User Management
- Edit Profiles: required as the parent permission for the below:
- Edit Emails
- Edit Predefined Extra Information
- Edit Predefined Tags
- View OU Hierarchy: requires Global scope on the role.
- Edit Profiles: required as the parent permission for the below:
Step 3: Assign the role to the user
- Navigate to Settings > Roles and select the role you just configured.
- Assign the role to the required OU, user, or group.
What the user will see
When the user logs in (or refreshes their browser, if already logged in), they will see the Signatures feature in the Navigation Menu on the left side of the screen. Selecting the option displays the following sub menu options:
- Email Signature Library: view current signatures and create new ones.
- Email Signature Management: assign permanent and/or scheduled signatures (from your Email Signature Library) to specific OUs or Smart Teams. You can also set whether an OU will inherit the Email Signature from its Parent OU.
