Your CloudM Continuity licence includes a user limit — the number of Microsoft 365 users you are licensed to sync. This article explains how user limits work, what happens when you exceed your limit, and how to resolve overages.
How user limits work
- Your licence specifies a maximum number of users that can be included in sync policies
- The user count is based on the number of distinct Microsoft 365 users matched by your active sync policy's user selection rules
- User limits use soft enforcement — sync continues even when you exceed the limit
What happens when you exceed your limit
| Area | Behaviour |
|---|---|
| Sync operations | Sync continues for all users, including those above the limit. No users are excluded or deprioritised. |
| Licence page | The user usage bar in Settings shows usage exceeding the limit |
| Overage visibility | The overage is recorded in the licence details and visible to CloudM for commercial follow-up |
Sync is never interrupted by an overage
CloudM Continuity is designed to protect your data. An overage will never cause sync to stop or users to be excluded. The overage is flagged for commercial follow-up, not technical enforcement.
Checking your current usage
- Go to Settings in the sidebar
- Your licence details show:
- User limit — the number included in your licence
- Current users — the number of distinct users matched by your policies
- Overage — the difference, if any
Resolving an overage
You have two options to resolve a user overage:
Option 1: Increase your user limit
Contact CloudM to increase the user limit on your licence. This can be done mid-term — you don't need to wait for renewal. The increased limit takes effect as soon as CloudM processes the change.
Option 2: Reduce the number of synced users
Adjust your sync policy user selection rules to match fewer users:
- Go to Policies in the sidebar
- Click on the policy you want to adjust
- Edit the user selection rules to narrow the scope (e.g. target a specific department or group instead of all users)
- Click Save
The user count will be re-evaluated on the next sync cycle.
How users are counted
| Scenario | Count |
|---|---|
| User matched by one policy | Counted once |
| User removed from a policy (no longer matches rules) | Not counted (removed from count on next sync cycle) |
| User in a disabled policy | Not counted while the policy is disabled |
Overage follow-up
If your tenant consistently exceeds its user limit, CloudM may contact you to discuss adjusting your licence to match your actual usage.
